If the agency/field instructor/task supervisor identifies problems in the field placement, the following steps should be followed with the goal of problem resolution when possible.
Depending upon the nature and severity of the concern, a resolution plan may not be appropriate or feasible. Please refer to volume 1, sections 11.01 Professional Misconduct, 11.02 SSW Technical Standards and Conduct Policy, and/or 11.03 Academic Misconduct.
Direct Communication: • Field instructors/task supervisors should first directly address concerns with the student, using supervision sessions for mutual feedback and coaching. • Consultation with field faculty is encouraged before meeting the student. • Documentation and Notification: After discussion, the field instructor documents the conversation and informs the field faculty.
Performance Learning Plan: • If concerns remain, implement an OFE Performance Learning Plan in consultation with UM field faculty • Schedule a meeting including the student, field instructor/ task supervisor, and field faculty to create a plan detailing roles, actions, and goals. • Follow up in 3-5 weeks to assess progress. If significant improvement is noted, resolve the plan.
Termination Procedures: • If progress is insufficient, termination will occur. Field instructor and student complete termination paperwork. • A Field Success Meeting, including the field education director/designee and field faculty, will determine next steps.
Grade and Next Steps: • A U grade is assigned; the student must repeat the semester's field credits including all hours. If the termination is questioned, a review for an appropriate grade may occur through a Field Success Meeting. The • • • Director of Field or Assistant Director of Field will make a final determination. • Students terminated but allowed to complete the term may get a Marginal grade and must still complete termination paperwork. A remediation plan may be established with field faculty.
Referral and Re-Placement: • Director Review: The field education director/designee decides if referral to the ADEP is needed for possible Academic Concerns Committee involvement. • Re-Placement Process: Students work with field faculty or placement coordinators for a new placement. An Out of Sequence Petition may be needed.
Re-Placement Timelines: • On-Campus/Local Online Students: a) Termination Before the current term Field Application Closes: U grade, no hours transfer. Aim to restart the next term. b) Termination After the current term Field Application Closes: U grade, re-apply next term, re-start field in two terms. • Non-Local Online Students: a) More than 10 Weeks to End of Term: U grade, no hours transfer. Re-apply same term, replaced in 4-6 months, restart in two terms. b) Less than 10 Weeks to End of Term: U grade, re-apply next term, replaced in next two terms, restart in three terms. • All students may restart early if all materials related to the placement are finalized early.
Additional Points: • Field faculty should inform academic advisors and program managers • Students will be informed at the Field Success meeting that terminations may delay graduation and have financial implications. • Terminations in the final term of SW691 may require an extra term for new placement and competency completion.
